This website is operated by GeoLogica Limited. We are registered in England and Wales under company number 12073289 and have our registered office at Elsley Court, 20-22 Great Titchfield Street, London W1W 8BE. Our main business address is Lytchett House, 13 Freeland Park, Wareham Road, Poole, Dorset BH16 6FA.Throughout the site, the terms “we”, “us”, “our” and GeoLogica refer to GeoLogica Limited.

By using our website, you accept these terms and conditions (Terms) and agree to comply with them. If you do not accept these Terms, you must not use our website.

We may amend these Terms, booking terms and our policies from time to time. Any new features or tools which are added to our site shall also be subject to these Terms.

You can review the most current version of the relevant terms and policies at any time. It is your responsibility to check this page periodically for changes. Your continued use of or access to the website following the posting of any changes constitutes acceptance of those changes.

Important Information

Please read these terms carefully, and in particular, we draw your attention to the Limitation of Liability terms.

Our courses are offered only to relevant businesses and individuals for professional purposes.  We do not offer these courses to consumers.   (You are a consumer if, as an individual, you are wanting to book a course wholly or mainly for personal interest (and not for use in connection with your trade, business, craft or profession)).

Our Booking Terms are therefore provided on a B2B basis only.   If you are a consumer, these Booking Terms are not appropriate for you; please speak to us about making a booking.

By making a booking with GeoLogica, you accept these Booking Terms. 

For these Booking Terms:

“you” means each of the individual participant of any course and the organisation making the booking (if any); and

“we” or “GeoLogica” means GeoLogica Limited.  We are registered in England and Wales under company number 12073289 and have our registered office at Elsley Court, 20-22 Great Titchfield Street, London  W1W 8BE.  Our main business address is Lytchett House, 13 Freeland Park, Wareham Road, Poole, Dorset BH16 6FA. 

Personal information

The personal information disclosed in the Course Participation Agreement will be used and disclosed by GeoLogica in accordance with our Privacy Policy

Availability

All courses are offered subject to availability.  We do recommend that participants request places early due to the limited number of places on our courses. However, a request for booking can be submitted up to the last business day before a classroom course. 

A booking is made when we have confirmed that we accept your course booking request.  

What our fees include and deposits

For virtual courses, fees are inclusive of tuition, electronic course manual and exercises and, where applicable, electronic or hard copy book to support the course.

For classroom courses, fees are inclusive of tuition, all course materials and daily refreshments during course hours.  They do not include any travel and accommodation costs. 

In the case of field course bookings, fees are inclusive of tuition, course materials, infield accommodation, subsistence and infield travel. They do not include – and Participants are responsible for – the booking and payment of their own flights to and from the field course location.

All fees include a non-refundable registration fee of 5% of the total course cost.

Certificates

A certificate of completion of each course is awarded to a participant who satisfactorily completes the course and will be given to them upon completion of the session.

Payments

Fees are payable in full at the time of booking and must in all circumstances be paid before the start of the relevant course.  Bookings remain provisional until payment has been received in full.  

The individual participant and/or the organisation making the booking shall be jointly and severally liable for the payment of the fees. 

Fees can normally be paid by payment card or by invoice (but the choice as to payment options available for a particular booking will be at GeoLogica’s discretion).  Late bookings, for example, will normally have to be paid by payment card. 

Course fees are payable in GBP Sterling (£) for courses held in the EU, and in US Dollars ($) for courses held in the US. 

For invoiced bookings, payment will be due in the specified currency within 30 calendar days of the invoice date to the bank account specified in the invoice.  

If a booking request is submitted less than 30 calendar days before course commencement, payment is due immediately.

Note:  For events in the EU, the merchant of record contracting with cardholder is GeoLogica Ltd, a UK entity. For events in USA, the merchant of record contracting with cardholder is GeoLogica Inc., a US entity.

Taxes

All payments due to GeoLogica shall be made without setoff, withholding or counterclaim.  Due to government regulations, all US course fees are listed inclusive of sales or withholding tax, where applicable, and all EU course fees are listed exclusive of value added tax (VAT) which will be added, if applicable, at the prevailing rate at the time of invoice or checkout.

Cancellations and Substitutions

Please contact info@geologicaworld.com if you need to cancel, transfer or make a substitute on any course booking.

Classroom/Virtual Course

Cancellation is possible up to 30 calendar days prior to course commencement. If cancelled, a refund of 95% of fees paid (so excluding the non-refundable registration fee) will be provided. Alternatively, a voucher for the full amount paid, valid for 12 months from date of issue, can be issued for use on any future GeoLogica course. The voucher is non-refundable and non-transferrable.

No refunds and/or vouchers will be given if cancelling 30 calendar days or less prior to course commencement.

Field Course

Cancellation is possible up to 45 calendar days prior to course commencement. If cancelled, a refund of 95% of fees paid (so excluding the non-refundable registration fee) will be provided. Alternatively, a voucher for the full amount paid, valid for 12 months from date of issue, can be issued for use on any future GeoLogica course. The voucher is non-refundable and non-transferrable.

No refunds and/or vouchers will be given if cancelling 45 calendar days or less prior to course commencement.

No shows

No-shows on the day of the course will forfeit the entire fee for the course.  

Participant substitution

A substitute participant can be requested at any time prior to the course commencement date, on condition that any participant booked on a classroom or field course is substituted for another participant from the same organisation.  Participant substitution is subject to written confirmation from both the individual/booking organisation and GeoLogica and will only be considered if payment has already been received in full.  Substitution would be subject to all of our other Booking Terms. 

Additional fees may be applicable, to be advised by GeoLogica at the time of requesting the participant substitution.

Late requests to transfer to a future session of the same course will be considered provided the tuition is paid and the requested session is open for enrolment. 

Travel permissions

Refunds will not be issued for failure to obtain the necessary travel permissions, such as entry visas etc., which results in a participant being unable to attend the course as a result of being denied entry at Port of Entry.

Geologica’s right to cancel or reschedule a course

In the event of a course being cancelled due to reasons beyond GeoLogica’s control, participants will be given the opportunity to transfer to another available course or receive a full refund. GeoLogica will not be responsible for any travel arrangement fees incurred by cancelling or changing travel plans as a result of a course cancellation. 

A decision to proceed with a classroom/virtual course is typically made 15 days prior to the start date, based on the number of confirmed (paid) registrants at that time. Should GeoLogica cancel or reschedule a course due to insufficient registrations, GeoLogica will offer participants the option:

  • to be re-registered for the next offering of the course in the same city; or
  • of a full refund of fees paid for that course (via same method as original payment).

A decision to proceed with a field course is typically made 45 days prior to the start date, based on the number of confirmed (paid) registrants at that time. Should GeoLogica cancel or reschedule a course due to insufficient registrations, GeoLogica will offer participants the option:

  • to be re-registered for the next offering of the course in the same city; or
  • of a full refund of registration fees (via same method as original payment). 

GeoLogica reserves the right to substitute course instructors as necessary.

Course materials

The course, and course materials provided during the course, contain copyrighted, trademarked, proprietary and/or confidential information and materials. All information, materials and content provided as part of the course are provided on the understanding that the contents will not be disclosed to any other party without the prior written consent of GeoLogica. You acknowledge and agree that GeoLogica or its instructor or other third-party provider owns all copyright and all other intellectual property rights in all course materials and any other materials provided to participants by GeoLogica or otherwise during or in respect of the course and that such rights shall remain vested in GeoLogica or its relevant instructor or third-party provider.

Course materials are prepared solely for information purposes and are not otherwise to be relied upon by the participant or organisation booking the course.  Course instructors, authors and/or GeoLogica will not accept responsibility for loss howsoever occasioned to any person or persons arising from any reliance in any manner on any such materials. 

Any equipment provided by GeoLogica for the use of any participant on any course shall be returned to GeoLogica immediately upon completion of the course. In the event that such participant does not return the equipment or returns the equipment in a damaged condition then GeoLogica reserves the right to charge the participant or the booking organisation the costs of replacement or repair (as is applicable) of such equipment.  

The participant or the booking organisation shall not (save as required by law) at any time disclose to any person (other than those of its subsidiaries and its and their directors, employees whose province is to know the same) and shall use all reasonable endeavours to prevent the publication or disclosure of any confidential information concerning the subject matter except for any information which is already in the public domain or which comes lawfully into the public domain otherwise than by disclosure by the participant or the booking organisation or which is or becomes known to the participant or booking organisation otherwise than pursuant to its duties here under.

Your obligations (including as to safety)

Before registering on a GeoLogica course, you agree:

  • To carefully identify, review and consider the risks of travel to any destination(s) that you partake in as part of the GeoLogica training course, including reading the most relevant travel advice available and taking advice through your own country of nationality consulate.
  • That you are voluntarily participating in the travel to the destination(s). You acknowledge that your participation may expose you to significant risks, including but not limited to terrorism, war, serious bodily injury or death, property damage, and other risks that may not be foreseeable. You understand that GeoLogica is not responsible for your safety and you assume full responsibility for all risks associated with your travel to/from and during attendance on the course.
  • That you will/have procured suitable and appropriate travel and medical insurance cover for the purpose of attendance on the registered course and supporting copies of the certificates of declared cover should be made available to GeoLogica to view prior to the commencement of the course on request. Failure to procure such insurance may preclude your attendance on the course and any fees paid may not be refunded.
  • The GeoLogica Health and Safety Documentation shall be completed when supplied and you (the participant) accept full responsibility for your personal safety and that of your personal property whilst travelling to or in the destination(s) as above.

Physical fitness

By registering for a GeoLogica  course, you are confirming that you are satisfied with the level of physical demand required to participate, having read the requirements in the course outline, and you agree that you/your organisation are responsible for ensuring your physical ability to attend.

Limitations on our liability

Nothing in these Booking Terms limits any liability which cannot legally be limited, including liability for:

  • death or personal injury caused by negligence;
  • fraud or fraudulent misrepresentation; and
  • breach of the terms implied by section 2 of the Supply of Goods and Services Act 1982 (title and quiet possession).

Subject to the preceding paragraph, GeoLogica will not be liable to the participant and/or the booking organisation, whether in contract, tort (including negligence), for breach of statutory duty, or otherwise, arising under or in connection with the Contract for:

  • loss of profits;
  • loss of sales or business;
  • loss of agreements or contracts;
  • loss of anticipated savings;
  • loss of use or corruption of software, data or information;
  • loss of or damage to goodwill; and
  • any indirect or consequential loss.

Subject to the preceding paragraph, our total liability to you arising under or in connection with the Booking Terms and the course, whether in contract, tort (including negligence), breach of statutory duty, or otherwise, will be limited to (in total) 100% of the fees paid for the relevant course. 

The terms implied by the Supply of Goods and Services Act 1982 are, to the fullest extent permitted by law, excluded from the agreement between us. 

Nothing in these Booking Terms limits or affects the exclusions and limitations set out in our Website terms

Miscellaneous

Events outside of our reasonable control.  We shall not be liable for delay in performing or failure to perform any of our obligations if the delay or failure results from an event outside of our reasonable control.  If our performance is so delayed or prevented, we will tell you as soon as possible to let you know and we will take steps to minimise the effect of the delay.  Provided we do this, we will not be liable for any delays caused by the event.   

Severance.  Each paragraph of these Booking Terms operates separately. If any court or relevant authority decides that any of them is unlawful or unenforceable, the remaining paragraphs will remain in full force and effect.

Third party rights. The agreement is between GeoLogica and both the individual participant of the course and the relevant booking organisation (if any).  No other person has any rights to enforce any of its terms.  For the avoidance of doubt, we can enforce our rights against each or both of the individual participant and the relevant booking organisation (if any). 

Entire agreement.  These Booking Terms constitute the entire agreement between the parties with respect to the matters set out herein and any change to the agreement must be made in writing and agreed by both parties. 

Governing law and jurisdiction. The agreement is governed by English law and we each irrevocably agree to submit all disputes arising out of or in connection with the Contract to the exclusive jurisdiction of the English courts.
